Manager, Financial Services– Full Time, Permanent Position
Reports to: Executive Director

Position Overview:
The Manager, Financial Services works closely with the Executive Director, Program Managers, and external stakeholders to ensure financial stability and transparency. Key responsibilities include managing the annual budget process, preparing financial statements, overseeing grant management, and ensuring compliance with all relevant regulations. The role of the Manager, Financial Services, is multifaceted and vital for the financial health and management of the organization.
Evaluating the financial performance of the organization and measuring returns on investments, the Manager, Financial Services is a key member of the Leadership team and is responsible to participate in and advise the team in policy development and implementation, advising on budget to actual expenditures, seeking opportunities for growth and supporting the organization within the community.

Work week duration / location:
Full Time position from Monday to Friday, 37.5/week, on-site at Williamsburg, ON

Key Responsibilities:

•Budgeting and Financial Planning:
Oversee the budgeting process, which involves preparing, planning and allocating financial resources to achieve the organization’s goals. Maximizing resource allocation is a key aspect of financial management, ensuring that funds are used efficiently and effectively, ensure financial stability by maintaining a solid financial foundation to sustain organization’s operations and fulfill the mission of the organization.
Collaborate with managers on budget process, sharing of information as to rationale and continual monitoring of budget to actual costs with managers.

• Financial Reporting and Analysis:
Responsible for producing accurate financial reports and analyzing financial data to inform decision-making. Implement and maintain financial practices by providing regular financial reports, so as to build trust with all stakeholders, and demonstrate a commitment to accountability and transparency.

• Risk Management and Compliance:
Ensuring compliance with financial regulations and managing financial risks is a crucial part of this role. Identifies and assesses potential risks that could impact the organization’s financial stability and reputation, developing strategies to mitigate those risks and implementing internal controls to ensure compliance with regulations and best practices.
Compliance, on the other hand, refers to adhering to legal and regulatory requirements. This includes filing necessary financial reports, maintaining accurate records, and following ethical guidelines To effectively manage risk and ensure compliance, the Manager, Financial Services will utilize various tools and techniques including conducting regular risk assessments, implementing internal control systems, and staying updated on changes in regulations and industry standards.

• Grant Management and Fundraising:
Manage and oversee the financial aspects of grants and fundraising efforts, supports organizational growth through effective financial planning and management to identify opportunities for expansion, develop new programs, and attract additional funding.

• Communication:
Develop positive relationships with internal and external stakeholders with a focus on promoting positive, safe, culturally inclusive environment.
Respond to queries from CRA, Auditors, Funders and other stakeholders.

The Manager, Financial Services, in addition to financial management skills, must possess
▪ strong leadership and communication skills, essential for effectively collaborating with other departments, board members, and stakeholders. The Manager, Financial Services needs to be able to clearly communicate complex financial information in a way that is easily understood by both internal and external parties. They must also be able to lead and motivate their team, providing guidance and support to ensure the financial success of the organization.

Qualifications and experience:

Education: Bachelor’s degree in commerce, Business administration or
Accounting
Minimum of 4yrs of relevant experience, preferably in a not-for-profit organization.

Skills: Advanced Excel Proficiency; Strong analytical skills; Ability to prioritize tasks, meet deadlines and manage high work volumes; Solution-oriented problem-solving abilities.

Attributes: Passion for positively impacting the lives of elderly individuals living with disabilities; Excellent communication and interpersonal skills, Team oriented.

Core Task:

Financial Operations and Reporting:
• Tracking of revenues and expenses for programs and identify and analyse variances.
• Prepare Monthly internal financial reports, quarterly reports for board and actual to year end reports.
• Prepare and submit funder report
• Prepare and submit insurance renewal documents
• Oversee investment portfolio and advise finance committee on the financial trends and market analysis.

Organization Credit Card Management and Accounts Payable / Reconciliation:
• Oversee day-to-day financial operations, including accounts payable and receivable.
• Administer organization credit card process and reconciliations.
• Accounts reconciliation, journal entries, and financial analysis.
• Streamline financial workflows with other departments

Monthly General Ledger Reconciliations:
• Ensure timely and accurate reconciliation of general ledger accounts.
• Resolve discrepancies and maintain thorough financial records.
• Month-end and year-end reconciliation processes.

Budgeting and Forecasting:
• Ensure compliance (report back) with funder requirements for program budgets
• Prepare and present -Actual to year end and forecast report to program managers, finance committee

Grant Administration:
• Manage grants for service delivery programs.
• Monitor grant compliance and ensure reporting deadlines are met.
• Educate and collaborate with managers on proposals, grant applications and fundraising initiatives.

Financial Systems and Process Improvement:
• Assist auditor with annual audit by providing documentation.
• Identify variance and suggest improvements and best practices.
• Identify and implement efficient financial workflows.
