The Investment Advisor Assistant is responsible for day-to-day communications and client service, business administration, gathering client information and preparing reports.
Responsibilities:
General responsibilities
§ Assist with client communications, including answering inquiries and scheduling appointments
§ Maintain a good rapport with clients and reinforce the company image in all communications
§ Assist in financial planning data entry for clients
§ Research and analyze investment options
§ Prepare reports and presentations on investment performance and market trends
§ General support to the Portfolio Manager as required
Provide exceptional client service
§ Resolve and respond to client concerns and inquiries in a professional and timely manner
§ Ensure all requests are processed correctly and quickly
§ Gather and organize client information, ensuring accuracy and confidentiality
Ensure accurate and timely processing of business
§ Includes but is not limited to the following:
– Prepare account paperwork and review for accuracy and completeness; follow up on outstanding information
– Investment account set up, deposit and trade processing
– Ensure compliant documentation of all transactions
Manage compliance and efficient office administration
§ Maintain client records and databases
§ Process financial transactions
§ Assist with compliance and regulatory requirements
Business development and marketing
§ Prepare timely client reviews, reports and presentations
§ Assist in the design and implementation of business development strategies, communications, marketing campaigns and events
Continued development and training
§ Participate in ongoing training related to job duties; develop knowledge and skills through sponsored education
§ Obtain relevant certifications to advance career development
Executive assistant support
§ General administrative support to the advisor as required
Skills and requirements:
§ Ability to exercise discretion in dealing with sensitive situations, using good judgment when responding to issues or requests
§ Strong ability to multitask as priorities may shift day-to-day
§ Attention-to-detail, ability to take initiative, strong organization skills
§ Excellent communication skills, both oral and written
§ Ability to work independently and as part of a team
§ Excellent PC skills in a Windows environment (Office 365, Word, Excel, Outlook, Internet)
§ Adaptable to an evolving practice
§ Highly motivated
§ Education in finance, business, economics, or a related field is preferred
§ Experience in financial services or customer service is preferred
§ Strong understanding of financial concepts, investment products, and financial planning principles
§ Relevant certifications, or willingness to quickly obtain them (ie CSC, CFP)
Additional Details:
§ Full-time, Permanent position
§ Salary range: $35,000 – $65,000 based on experience
