PURPOSE OF THE POSITION:
The Community Service Administrative Assistant provides clerical and administrative support to ensure the efficient operation of the Community Services Department and the effective delivery of programs and services to the public. This position requires strong computer skills, attention to detail, and a solid understanding of municipal administrative procedures.
Working primarily from the Township Office, the Community Services Administrative Assistant assists with client payments, financial deposits, invoicing and record management using the Township’s financial and booking software systems. The role also supports departmental initiatives, prepares correspondence and reports, and serves as a key point of contact for residents and staff. The Community Services Administrative Assistant acts as a professional and cooperative liaison between the Director of Community Services, Township staff, and members of the public – promoting a high standard of customer service, communication, and public relations in all interactions.

KEY DUTIES AND RESPONSIBILITIES:
• Handles and directs all public inquiries related to the Community Services Department.
• Provides general office assistance.
• Provides backup to the front reception.
• Processes and records payments related to Community Services functions at the Township Office and through the online booking system.
• Assists the Recreation Coordinator in the development and implementation of recreation programs to maximize use of municipal facilities.
• Responsible for handling booking requests for all hall rentals, coordinating site visits, and verifying insurance coverage for all user groups.
• Generates facility rental contracts, ensuring that all pertinent information is recorded and communicated to the appropriate staff members and that payment is processed through appropriate platforms.

• Assists in the coordination of advertising at the facilities.
• Assists in audit preparation including preparation of supporting schedules for the Community Services Department as required.
• Assists with the production of documentation and promotional materials for recreation programs and special events.
• Assists with organizing and planning special municipal events such as the Evening of Excellence, Public Information Meetings, and coordinating fundraising and sponsorship opportunities.
• Manages inventory logs and generates various statistical reports for the Community Services Department.
• Assists with creating agenda packages and minute taking for the Health & Safety Committee and Municipal Recreation Association Committee meetings.
• Attends certain events in the municipality on behalf of the department.
• Other duties as assigned, including assisting other service areas when required.

Position Requirements / Exigences du poste

POSITION QUALIFICATIONS:
• Post-secondary education in business administration, office administration, or a related field.
• Minimum 2 years of experience in an administrative or financial support role.
• Excellent oral and written communication skills.
• Excellent computer skills.
• Experience with Book King and/or VADIM is considered an asset.
• Ability to work as a team in a fast-paced environment.
• Ability to manage time effectively to work on a number of projects and tasks simultaneously, prioritizing accordingly, and with minimal supervision.
• Excellent interpersonal, project/time management and problem-solving skills and is expected to use independent judgment when appropriate.
OTHER REQUIREMENTS:
• Bilingualism in French and English is required.
• Valid class G driver’s license and access to a personal vehicle.
• Willingness to work flexible hours as required including some evenings and weekends.
• Familiarity with social media, website content management systems and graphic design are considered assets.
• First-Aid and CPR certification would be considered assets.
• Must provide a current Police Record Check.
