Position Overview:
We are seeking a detail-oriented and highly organized Office Administrator to join our team in Vankleek Hill. This role is integral to the day-to-day operations of our business, providing administrative support to management, field staff, and clients. The ideal candidate is proactive, resourceful, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Provide general administrative support, including answering phones, responding to emails, and maintaining office supplies.
  • Prepare, organize, and maintain project documents, contracts, and correspondence.
  • Assist with scheduling, job tracking, and coordination between office and field crews.
  • Manage data entry, filing systems, and record-keeping with accuracy and confidentiality.
  • Support job requirements by pulling permits, scheduling contractors, completing applications
  • Prepare reports, spreadsheets, and presentations as required.
  • Coordinate with clients, subcontractors, and suppliers to ensure smooth communication and workflow.
  • Contribute to maintaining a safe, organized, and efficient office environment.
  • Hours  7:30-4:30

Qualifications:

  • Previous experience in an administrative role (construction or utilities industry experience an asset).
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Ability to work independently as well as part of a team.
  • Strong problem-solving skills and a proactive approach to tasks.
